Cancellation Policy
Overview
We understand that plans change and life happens. This Cancellation & Refund Policy outlines what happens when a trip needs to be cancelled — by you or by us — and how we handle refunds in each scenario.
We have designed this policy to be as fair and transparent as possible, balancing the needs of our travellers with the reality that many supplier bookings (hotels, transport, activities) involve non-recoverable costs once confirmed.
Standard Cancellation & Refund Schedule
The following schedule applies to domestic trips and weekend getaways. All cancellations must be communicated to us in writing (email or WhatsApp).

International Trips — Special Conditions
International travel involves additional supplier commitments — particularly for flights, visas, and international hotel bookings — which often carry stricter non-refundable terms. The following applies to all international packages:

For international trips, flight tickets booked on your behalf are subject to the airline’s own cancellation policy, which may allow for partial refund or credit depending on the fare class. We will always pursue the maximum possible recovery on your behalf.
Non-Refundable Items
The following are non-refundable regardless of when cancellation is made:
- Booking advance / deposit paid at the time of confirmation
- Visa application fees and related processing charges
- Travel insurance premiums once policy is issued
- Flight tickets booked under non-refundable fare classes
- Permits for restricted or high-altitude areas (e.g., Ladakh Inner Line Permit, forest permits)
- Pre-paid activities, safaris, and experiences where the supplier has a no-refund policy
- Currency exchange fees or international transfer charges
How to Cancel Your Trip
To cancel a booking, follow these steps:
Email us at info@yourtripsathi.com or send a WhatsApp message to +91 98805 07672 clearly stating your booking details, travel dates, and reason for cancellation. The cancellation date is the date we receive your written request — not the date of verbal communication.
We will acknowledge your cancellation request within 24 hours and provide a confirmation along with a detailed breakdown of applicable charges and refund amount.
Once confirmed, we initiate the refund process. We recover amounts from hotels and suppliers before processing your refund. See Section 6 for timelines.
The eligible refund is transferred to your original payment method. Bank processing times may vary. You will be notified when the transfer is initiated.
Refund Processing Timelines
Once we have confirmed the refund amount after supplier recovery:
- Bank Transfer (NEFT/IMPS): 5–7 working days from initiation
- UPI Payments: 3–5 working days
- Credit/Debit Card: 7–14 working days (depends on your bank’s processing cycle)
- Supplier Recovery: For international trips, supplier recovery may take 15–30 days before we can process your refund
We will keep you informed throughout the refund process and notify you as soon as the transfer is initiated.
Cancellation By YourTripSathi
In rare circumstances, we may need to cancel a trip — for example, due to insufficient group size, natural disasters, government-imposed travel restrictions, or force majeure events.
If we cancel your trip:
- We will notify you as early as possible — ideally with at least 14 days’ notice where circumstances permit
- We will offer you a full refund of amounts paid to us, minus any non-recoverable supplier costs already committed on your behalf
- Alternatively, we will offer you a credit voucher of equal value, valid for 12 months, to rebook any trip
- We will make every effort to suggest an alternative trip of equal value and quality
YourTripSathi’s liability in such cases is limited to the amount paid by you for the cancelled trip. We are not responsible for any consequential losses such as flight tickets, visa fees, or accommodation booked independently.
Rescheduling a Trip
We understand that sometimes you can’t cancel — you just need to change the date. We try to be as flexible as possible:
- 30+ days before departure: One free reschedule, subject to availability of the same package and accommodation
- 15–29 days before departure: Rescheduling is possible with a rescheduling fee of ₹500 per person, plus any supplier price difference
- Less than 15 days before departure: Rescheduling is treated as a cancellation and re-booking — standard cancellation charges apply
Rescheduling requests are subject to availability and cannot be guaranteed. Any increase in the new booking price must be paid before the rescheduled trip is confirmed.
No-Show Policy
A “no-show” occurs when a traveller fails to appear for the trip without prior written cancellation notice.
- No-shows are treated as a cancellation made within 0–7 days of departure
- No refund will be issued for no-shows under any circumstances
- If a group trip is partially missed (e.g., delayed arrival), YourTripSathi will not be held responsible for missed activities or accommodation
- No credit or transfer of unused trip days to future travel will be provided
Travel Insurance — Our Strong Recommendation
Many cancellation scenarios that fall outside our refund policy — including medical emergencies, family bereavement, job loss, or sudden illness — can be covered by a good travel insurance policy.
We strongly recommend every traveller purchase comprehensive travel insurance that includes:
- Trip cancellation and curtailment cover
- Medical emergency and hospitalisation cover
- Baggage loss and delay cover
- Flight delay and missed connection cover
Travel insurance premiums are modest compared to the potential losses from an unplanned cancellation. Please ask us for guidance on suitable insurance providers at the time of booking.
